Multilingual Customer Support for Indian MSMEs

Answer customers in the language they write in, and record that language against their name. A small set of reviewed quick replies in your top two or three languages covers most routine questions.

Why language matters

IBEF's summary of the IAMAI-Kantar report says India had 886 million active internet users in 2024. Rural India accounted for 488 million of them, 55 per cent of the total. The same summary says 98 per cent of users access content in Indic languages, and that 57 per cent of urban users also prefer regional-language content.

India's Constitution lists 22 languages in the Eighth Schedule, including Hindi, Tamil, Telugu, Kannada, Malayalam, Marathi, Bengali, Gujarati, Punjabi and Urdu. No small business will cover all of them, but many serve customers in three or four.

Step 1: find out what your customers use

Look through the last 100 chats or enquiries. Count how many came in each language, including English and mixed messages. Your first two or three languages are the ones with the most volume.

Step 2: record the language

Add a "preferred language" field to every customer record. When an enquiry arrives, set it once. Then everybody on the team replies in the right language without asking again.

Step 3: build quick replies in each language

WhatsApp's Business app has quick replies for frequently asked questions, plus a greeting message and an away message. Prepare these for each language you support: greeting and away messages, how to order and pay, delivery areas and timelines, return and refund policy, and business hours and contact details.

Have a fluent speaker review each one. A machine translation can look fine but sound rude or confusing to a native reader. This is my practical advice, not a finding from the sources.

Step 4: keep a small glossary

List the words that matter to your products: pack sizes, units, grades, product names and local terms. Decide the spelling for each one and use it every time. Customers who see "kg" in one message and a local unit in another may be unsure what they are paying for.

Step 5: write short, plain messages

Use short sentences and one question per message. Avoid slang and idioms. Many customers type in Roman letters for languages that have their own script, so be ready to read and answer both. This is a common observation in Indian customer chats, not something I have a source for.

Step 6: set handover rules

Decide who handles each language, and what happens when that person is away. If nobody on the team speaks a language, say so politely and offer another channel, such as a call back or a reply in simple English. Do not guess.

Step 7: track by language

Note response time and complaints per language. If one language has slower replies, you may need another person or more quick replies.

Be careful with AI help

AI translation can speed up first drafts. Have a person check anything involving prices, dates, refunds or health claims before it goes to a customer.
